How mobile detailers can stop no-shows and late cancels
A mobile detail is a big block of your day. You load the van, drive out, set up your water and power, and plan the rest of the schedule around it. When the customer is not there, or cancels on the driveway, that slot is very hard to sell again. That is why a clear policy and a card behind the booking matter more for detailers than for almost any quick job.
1. Confirm the day before, and ask the practical questions
Text the day before with the time and address, and ask for a reply. While you have them, confirm what you need on site: somewhere to park the van, access to a tap and an outlet if you use them, and that the car will be unlocked and reasonably empty. A customer who has answered those questions has thought about the appointment.
2. Text when you are on your way
An “on my way, about 20 minutes” text gets the keys found and the car brought out. It also gives the customer a last chance to say they are stuck, before you are parked outside.
3. Put a card behind the booking
A hold on the customer’s card makes the booking real for both sides. If they cancel in time, the hold is released and nothing is charged. If they no-show or cancel late, you can charge your fee. 4. Write a weather and reschedule rule
Detailers lose slots to rain, heat and wind that have nothing to do with the customer. Decide in advance what happens: you reschedule for free if the weather stops the job, and the customer does not pay a fee for it. Saying so up front makes your late-cancel fee look fair, not arbitrary.
A short policy you can adapt
To keep your appointment we place a hold of $50 on your card. It is a hold, not a charge. Cancel or reschedule at least 24 hours ahead and nothing is charged. If you cancel later, or nobody is there when we arrive, we may charge up to $50. If we have to reschedule for weather, there is no charge. Otherwise the hold goes toward your final bill.
The amount and the notice period are examples. Pick numbers that match what a wasted slot costs you, and keep to them. This is general information, not legal advice; rules about fees differ by state and province.
