What to put on a mobile mechanic invoice (and how to get paid faster)
A good invoice does two jobs: it makes the customer comfortable paying, and it protects you if there is a question later. For a mobile mechanic there is a third job. If you leave without being paid, you are now chasing money, and the longer it sits the harder it is to collect.
What to include
- Your business name, phone number and email, and the customer’s name.
- The date and the vehicle: year, make, model, and mileage if you have it. A VIN helps with warranty and history.
- A plain description of the work done, in words the customer understands.
- Parts and labor on separate lines, each with its price. Customers question one big number; they rarely question a clear list.
- Your labor rate and the hours, or the flat price you quoted.
- Tax where it applies to you, and the total.
- Payment status and how to pay. If it is already paid, say so.
- A short note on warranty for parts and labor, if you offer one.
Separate parts and labor
Listing parts and labor apart shows the customer where the money went, and it is your record for parts cost if you track profit per job. It also makes it easy to answer “why is it this much?” without an argument.
Get paid before you pack up
- Send or show the invoice while you are still there, not later that night.
- Take payment on the spot by card. Collecting while you are still standing there is much easier than chasing the money later.
- If a card was put on hold when they booked, use it: the hold counts toward the bill and only the rest is charged.
- For payments that do get delayed, send a friendly reminder a few days later, and stop when they pay.
Estimates help too
For anything beyond a simple job, send an estimate first and get a yes in writing. It sets the price the customer expects to see on the invoice, and it settles the “I thought it would be cheaper” conversation before the work starts.
